We’re looking for a proactive and highly organized Operations Administrator to join our fast-paced, mission-driven team. This role is perfect for someone who thrives in a dynamic environment, loves solving problems on the fly, and enjoys wearing multiple hats.
You’ll provide key administrative support, manage calendars and travel for executives, coordinate internal events, and serve as the go-to for office operations. You’ll also support special projects like RFPs and vendor coordination.
LOCATION:
Austin, TX - In-Office Full-Time
KEY RESPONSIBILITIES:
Executive & Administrative Support
Collaborate with executives and key leaders to coordinate internal meetings, events, and cross-functional scheduling
Navigate around busy calendars to ensure alignment on key meetings, team sessions, and strategic planning touchpoints
Provide support for internal event logistics involving executive participation (e.g., offsites, leadership meetings, retreats)
Office & Facilities Management
Manage daily office operations: stocking supplies, ordering equipment, and maintaining vendor relationships
Serve as liaison with the building manager for facilities, maintenance, and access (e.g., fobs and security)
Ensure a smooth and welcoming office environment for all employees and guests
Event Coordination
Plan and execute internal team events, offsites, and executive meetings (including venue booking, hotel blocks, and logistics)
Work across teams to adapt to changes and manage event-related details under tight deadlines
Special Projects & Purchasing
Provide administrative support for RFP responses, including formatting and deadline coordination
Assist with vendor management and purchasing-related tasks
Reconcile company purchasing and help maintain accurate expense tracking
BASIC QUALIFICATIONS:
Experience supporting senior leaders and coordinating complex calendars
Experience and competency in event planning, travel booking, and expense reporting
Ability to create and edit spreadsheets
Technically savvy and quick to learn new tools and systems
Self-starter who can work independently and thrives in a high-growth, fast-paced environment
Strong communication and problem-solving skills
Flexible and resourceful - able to wear multiple hats and adapt as priorities shift
Willingness to travel 10–20% for internal events, team offsites, or company-wide meetings
Associate’s or Bachelor’s degree preferred
ADVANCED QUALIFICATIONS:
Familiarity with tools like Google Workspace, Concur, or similar platforms
COMPENSATION & BENEFITS:
$70,000 - $80,000 annually

Final compensation will be based on a variety of factors, including, but not limited to, your experience, skills, and qualifications.
