Job Description

We are seeking an organized and proactive Administrative Assistant to support our psychology

practice. The ideal candidate will have a minimum of three years of experience in a medical or

mental health setting with a demonstrated ability to work independently and produce results.

Key Responsibilities:

  • Provide essential administrative and clerical support, including answering phones and scheduling existing and new patient referrals.
  • Process client documents, organize records, and ensure strict confidentiality.
  • Manage billing and insurance-related paperwork.
  • Enter payments into patient's account, reviewing accounts and sending invoices for outstanding balances.
  • Maintain databases and filing systems, both physical and electronic.
  • Handle mail and keep the office environment clean and organized.
  • Utilize computer software proficiently, including email, word processing, spreadsheets, and practice management software.
  • Verify insurance benefits & determine prior authorization.

Qualifications:

  • Minimum of three years of experience in a medical or mental health setting is preferred.
  • Proficiency in computer applications, such as Microsoft Office Suite and practice management software.
  • Strong knowledge of medical terminology and billing procedures.
  • Excellent organizational skills and attention to detail.
  • Ability to maintain confidentiality and adhere to professional standards.
  • Strong communication skills and a friendly, professional demeanor.
