Role Description:

We are seeking a highly organized and detail-oriented Real Estate Transaction Coordinator to manage and oversee the administrative aspects of property transactions from contract to close. The ideal candidate will ensure that all necessary documentation is completed accurately and on time, facilitating smooth and efficient transactions between buyers, sellers, agents, and other parties involved. This role requires excellent communication skills, a deep understanding of real estate procedures, and the ability to work in a fast-paced environment.

Key Responsibilities:

· Assisting agent to prepare items for listing presentations.

· Oversee and manage the entire real estate transaction process, ensuring compliance with legal requirements and timelines from the execution of the contract through to closing.

· Review all required documentation, including contracts, disclosures, amendments, and other forms, ensuring accuracy and completeness.

· Serve as an additional point of contact for clients, real estate agents, lenders, title companies keeping them informed of transaction progress and addressing any concerns.

· Maintain organized digital transaction files. Work with agents to obtain any missing/unsigned paperwork.

· Hold quarterly meetings with the agents to assess your performance and explore ways you can support them.

· In-house resource for all company utilized platforms.

· Electronically process commission payments to agents and deposits.

· Performs general office duties and other special projects as assigned.

· Assist Office Manager in maintaining office calendar.

· Assist with all community sponsored events.

· Work with Marketing Director to put together materials requested by agents.

Qualifications:

· High school diploma or equivalent required; bachelor’s degree in business, Real Estate, or a related field is a plus.

· Minimum of 2-3 years of experience in a real estate administrative role or as a transaction coordinator.

· Strong knowledge of real estate transaction processes, legal documents, and regulations.

· Proficiency in real estate software and transaction management platforms (e.g., DocuSign, IRES, Showing Time, Skyslope, or similar).

· Excellent organizational skills with the ability to handle multiple tasks and deadlines simultaneously.

· Strong attention to detail and problem-solving abilities.

· Exceptional communication and interpersonal skills.

· Ability to work independently and as part of a team.
